Volans Limited (Volans) respects your privacy. This policy explains how we collect, use, store and share personal information when you use volans.co.nz, buy from us, or contact us. It sits with our Terms and Conditions.

We follow the New Zealand Privacy Act 2020. Using the site or buying from us means you understand this policy.

What we collect

  • Name, email, phone, delivery and billing addresses
  • Account login and date of birth if you give it
  • Orders, returns, payment method (we do not store full card numbers)
  • Loyalty points and club tier
  • Reviews and messages you send us
  • IP address, device, browser, and how you use the site
  • Marketing and review-email preferences

We collect this from you, and sometimes from payment providers, couriers, or the review tool.

How we use it

  • Process and deliver orders, including tracking
  • Customer support
  • Run your account and loyalty points
  • Send order emails (confirmation, dispatch, returns)
  • After a purchase, we may send one or a small number of emails asking you to review the product. That is optional. You can ignore it or unsubscribe. We will not treat a review request as consent for our newsletter.
  • Marketing emails and specials only if you have opted in
  • Birthday offers only if you gave a date of birth and have not opted out
  • Improve the site and products (including Google Analytics)
  • Prevent fraud and meet tax and legal duties

Review emails

A review invitation is tied to an order you placed. It will come from Volans, include a way to stop further review emails, and will not be used as a substitute for marketing opt-in. Fake or paid reviews are not allowed.

Cookies and ads

We use cookies so the site works, to remember the cart, and to see how the site is used. We may use Google, Meta or similar tools to measure ads. You can block cookies in your browser; some features may stop working.

Marketing

Newsletters and promotions only if you opted in. Unsubscribe in the email, in your account, or by writing to [email protected]. We keep a record of consent because New Zealand spam law requires it.

Who we share with

Only what is needed:

  • Couriers (Post Haste, CourierPost and similar)
  • Payment providers
  • Hosting, email and review platforms
  • Accountants and, if required, IRD, Police or the Privacy Commissioner

We do not sell your information.

Overseas

Some providers are outside New Zealand (for example hosting or analytics). We take reasonable steps so they handle the information in line with the Privacy Act 2020.

Security and retention

We take reasonable steps to keep information secure. No website is perfectly safe.

We keep order and tax records at least 7 years. Other information is kept only as long as we need it, then deleted or anonymised.

Your rights

You can ask what we hold, ask us to correct it, and complain to us. If you are not satisfied, contact the Office of the Privacy Commissioner (privacy.org.nz).

Serious breaches

If a privacy breach is likely to cause serious harm, we will notify the Privacy Commissioner and affected people as the law requires.

Children

The shop is not aimed at children under 16 buying without a parent or guardian.

We may update this policy. The date at the top is the current version.
